I had an initial consultation with a neuropsychiatrist at your clinic (10.07), during which a qEEG examination was recommended and scheduled for the following week (15.07). Prior to my qEEG appointment, the only communication I received from the clinic was a standard SMS reminder confirming the appointment. It did not include any information about the preparation required for the qEEG examination. At no point was I informed of the essential preparation requirements for the qEEG examination. This information was not provided: • during my consultation with the neuropsychiatrist, • in the appointment reminder SMS, • in any email, • or during the booking process. I was never informed that, on the day of the test, I needed to: • wash my hair, • avoid using conditioner or any other hair products, • avoid drinking coffee beforehand. As a result, I traveled to the clinic for the scheduled qEEG examination, only to be informed upon arrival that the electrodes could not be properly attached because my hair had not been prepared according to these requirements. Consequently, the qEEG examination could not be performed. When I asked why I had never been informed about these mandatory preparation requirements, the administrator stated that she had called me the day before the examination. However, there is no record of either an answered or a missed call from the clinic on my phone on that day. The only communication I received prior to my appointment was the standard SMS reminder, which contained no preparation instructions. When I asked why these critical instructions had not been included in the SMS reminder or sent by email, I was told that “we can’t personally notify every patient.” I find this explanation unacceptable. Essential preparation instructions should be communicated through a reliable and consistent process, such as the appointment reminder, email, or written instructions provided at the time of booking. The clinic did not offer any meaningful resolution. I was simply told that I would not have to pay for the qEEG a second time (!) and that I could reschedule the examination for another day. However, this does not address the inconvenience caused by the clinic’s failure to provide the necessary preparation instructions. I had already taken time off work, rearranged my schedule, and traveled to the clinic from another city, only to discover that the examination could not be performed because I had not been given the required preparation instructions. This entire situation could have been avoided through proper communication. If the clinic maintains that an attempt was made to contact me by phone, I would appreciate receiving the date, time, and telephone number from which the call was allegedly placed so that this discrepancy can be clarified. I believe your CRM system should have this information. I believe the clinic should take responsibility for this communication failure and review its procedures to ensure that all patients receive mandatory preparation instructions before diagnostic examinations. I would also appreciate an appropriate resolution that acknowledges the unnecessary loss of time, travel, disruption to my work schedule, and inconvenience I experienced due to an error that was entirely outside of my control.
